The following areas are provided for: weighins, precheck, outdock/Control commission, start line, up to three intermediate split timings, finish line.

===General information===

===Athlete weigh-ins===

===Control commission / out dock===

The out dock is able to indicate that a crew has passed through, or has boated, and this information will be visible to the start line. Control commission will also be able to check athlete and coxswain weights for accuracy.

===Precheck===

Precheck is for regattas that would like to have a two-stage outdock procedure. Precheck is similar to outdock, but the precheck information is not visible at the start line, as we assume that they will still get the outdock information.

===Start line===

If you are able to have a computer at the start line, the RDS can provide you with information about which crews have passed through Control Commission, and what time that occurred. This might make it possible to see whether you have all of the crews for a race, and whether any late crews might be about to arrive.

Information on coxswains and the weights they should be carrying will be displayed here.

It is also possible to time the beginning of a race from the Start line.

===Finish line===

This is the heart of the timing system. A computer here is used to record the actual times of each crew finishing. I'd also recommend that you print out the finish sheets for each race, as these form the basis of the paper record of your regatta. It can be tricky to record everything that happens, especially in a close race, so it's a good idea to have two or three people at the finish line to watch, record and use the computer as races finish.
===Printing information in advance of racing===

Before racing begins, print finish line sheets for each race that has entries (i.e. don't print for finals until their heats etc. have run). Go to '''List races''', choose the day or session that you wish to print for, check the box in the '''Finish line''' column for every race that shows entries in the '''Entries''' column, then scroll to the bottom of the page. Check the box for the ePrinter if required, then click '''Batch print checked finish sheets''' to produce a printable PDF. There is also

You can also print copies of the draw for the umpires. There are two versions of the draw. For umpires following races, there is a version with extra space for them to write notes. Go to '''List races''', choose the day or session that you wish to print for, click on the '''Regatta Day Umpires Draw PDF''' link at the top of the page for a printable version.

===Printing information during racing===

As racing progresses, keep an eye on which finish line sheets can be printed for finals, and negotiate with the Chief Umpire as to when you will print updated copies of the Umpire Draw for their use.

You can print a draw (regular or umpire version) starting from a particular race by clicking on the link titled '''Print draw from here''' in the appropriate row of the timetable.

Richard:

The finish line page allows you to record, in real time, approximately what happens on the finish line. The finish line really requires two people to operate best, one operating the computer to record the split times and the other recording the order of bows crossing the line.

In preparation, it is a good idea to have already printed out the '''finish pdf''' sheet from the List Races page. This allows the spotter to write down what they see as the boats cross the finish line. I recommend writing down the bow numbers in the order they finish.

From the '''List Races''' page, click on the '''Finish Line''' link for the race that's approaching. This link can be found in the Finish Line column.

At the top of the page are two buttons: '''Refresh page''' and '''Reset race'''. The '''Refresh page''' button is like a save button, and it updates various parts of the page. The '''Reset race''' button clears all of the race information that you might have put in, so that you can start over. The page will ask you to confirm that you do indeed wish to reset.

Check that you are looking at the finish line page for the race on the course.

===Timing the finishes===

There is a large button near the bottom of the page labelled '''Finish!!'''. If you have not clicked on anything, it is highlighted yellow, so if you press a key on the keyboard (like the spacebar), the button will be pressed. If the '''Finish''' button is green, then you should press the small button above it labelled '''Ready for finish'''. This prepares the main '''Finish!!''' button for action.

Watch the finish line closely, and press the spacebar as each bowball crosses the line. At the same time, the spotter should be recording the order of finishes. As the '''Finish!!''' button is pressed, the table below the finish button grows with an extra row for each time the '''Finish!!''' button is pressed. It is important that the button be pressed punctually, as the software uses the timings of the button presses to determine the splits between crews.

A stopwatch can be used as a backup for timing the splits between crews. Split times can be edited manually using the link '''Edit splits'''.

===Assigning race times===

Once all of the boats have crossed the finish line (or even before that, if you have time) you can add the information about which crew came in first, second, third etc. Using the spotter's list as a guide, assign the finish times to the bowmarker of the boat that finished at that time. For instance, if Lane 4 finished first, click on the checkbox for Lane 4 in the first row of times, which is labelled '''Finish #1 is for lane'''. It is possible to assign more than one crew to a particular time (if there was a dead heat).

===Referee race time===

If the race is being timed by the umpires following the race, write this time on the finish line sheet along with the order of finishing, then enter it into the textboxes for Referee Race Time. The first box is for hours, the second for minutes and the third for seconds (and fractions thereof). Leave the '''(use)''' checkbox checked.

If the race was started on the RDS at the start line, then the RDS will have all the information it needs to calculate the race time for each crew. In this case, ensure that the Referee Race Time '''(use)''' checkbox is not checked.

===Chaos at the finish line?===

If you are not able to complete the collection of data before the next race comes along, click on one of the '''Save / Refresh''' buttons. This saves the data, allowing you to move on to another race, and then come back later to complete the previous race.

===Committing the race information===

Wait for the white flag, then click on the button labelled '''Calculate'''. Check your data carefully. The page should reload, with a green box at the top right labelled '''Success'''. The right column of the table containing the crew information should now have been updated with race times and finishing positions. Check through this and see that it looks correct.

If you are sure you have everything correct, and the judge at the finish agrees, click the button labelled '''Commit race'''.

If there is an error, look through the finish times and positions information, alter as necessary, and press '''Calculate''' again.

If the information is correct, and a button labelled '''Print / Tweet result''' is visible, you can press that to send the result sheet to the ePrinter and to tweet the result. (Note that these functions are only available if the correct email addresses have been entered into the '''Regatta setup''' information.

===Race under protest===

If after the race there is a protest by one of the crews, and the race official raises a red flag, the race is under protest. Click on the checkbox labelled '''Race is under protest''', then click on the button labelled '''Save / Refresh'''. The race calculations will not be carried out, and the Commit button functions purely as a save button to record the information you input. Later, when the protest is resolved, return to the finish line page for this race, uncheck the protest button and click on the button labelled '''Commit race''' to complete the race time, position and progression calculations.

===Yellow and red cards===

If crew has received a warning, this can be recorded by selecting the offence from the drop down in the '''Status''' column. The violation is added automatically. Any number of violations can be recorded for a crew. The result of the violations will be applied when the race is '''Commit'''ed. If a violation is added in error, it can be removed using the '''Delete''' button.

===Moving to the next race===

You can move to the finish line page for the next scheduled race by clicking on the link near the top right of the page, which starts '''Next race:'''.

===Reset===

If you need to reset the finish line data, click on the red '''Reset''' button and confirm your choice. Perform this action twice to ensure that it reset everything.

If any of the crews were not present at the start, click on the yellow '''Undo start!''' button for that crew to indicate to the finish line that this crew was absent.

==False starts==

If there is a false start, reset the race information by clicking the red '''Reset race''' button and confirm your action. Perform this action twice to ensure that it reset everything.

==Time trials==

For a time trial, the page shows the crew information, alsong with a green button that shows the crew's bow number along with '''start!'''. Click this as the crew's bowball crosses the start line. The green button updates to show the crew's start time and a yellow '''Undo start!''' button.

In the case of an accidental button press, you can click the '''Undo start!''' button, which unsets the crew's start time and provides the green '''start!''' button.
If the race is a time trial,

==Head racing==

A head race is set up as a group of time trials all showing on the same page. Simply work your way down the page using the green '''start!''' buttons when appropriate.

==Special note for iPads==

Richard: /* Committing the race information */

===Timing the finishes===

===Assigning race times===

===Referee race time===

===Chaos at the finish line?===

If you are not able to complete the collection of data before the next race comes along, click on one of the '''Save / Refresh''' buttons. This saves the data, allowing you to move on to another race, and then come back later to complete the previous race.

===Committing the race information===

===Race under protest===

===Yellow and red cards===

===Moving to the next race===

You can move to the finish line page for the next scheduled race by clicking on the link near the top right of the page, which starts '''Next race:'''.

===Yellow and red cards===

===Moving to the next race===

You can move to the finish line page for the next scheduled race by clicking on the link near the top right of the page, which starts '''Next race:'''.

Note - this no longer seems to be an issue following the introduction of devices like the Apple Watch...

We know that all of the devices have their own internal clocks, that they do not synchronize to NTP very often, and that their internal clocks drift. If required, for greater accuracy, you can calibrate the individual devices against NTP servers on the internet.

For the iPad, we have tried an app called Emerald Time (free). It will show the offset (in red) between the iPad's internal clock and the internet time. For the laptop, go to the website time.is and this will give you the offset between the laptop and the internet. The offset (difference in seconds) is the time between the true time and the device's internal clock; positive means the internal clock is behind. Add the offset to the device's time to get the true time.

The offset values can be entered into RDS on the start and finish line pages: click on '''(click to view details)''' in the top left of the start or finish line page. Enter the offset in the box for new values of '''NTP time offset''', then press the '''Save/Refresh page''' button. RDS will use these offset values until you enter some more (since the devices clocks will continue to drift.

Richard:

This system is designed to provide information from one area of the race course to another. In an ideal situation, each area would have some form of computer connected to the Internet so that they can connect to regattadata.com.

The following areas are provided for: weighins, precheck, outdock/Control commission, start line, up to three intermediate split timings, finish line.

===General information===

===Athlete weigh-ins===

===Control commission / out dock===

The out dock is able to indicate that a crew has passed through, or has boated, and this information will be visible to the start line. Control commission will also be able to check athlete and coxswain weights for accuracy.

===Precheck===

Precheck is for regattas that would like to have a two-stage outdock procedure. Precheck is similar to outdock, but the precheck information is not visible at the start line, as we assume that they will still get the outdock information.

===Start line===

===Finish line===

===Results===

You should also print copies of the draw for the umpires. There are two versions of the draw. For umpires following races, there is a version with extra space for them to write notes. Go to '''List races''', choose the day or session that you wish to print for, click on the '''Regatta Day Umpires Draw PDF''' link at the top of the page for a printable version, or the '''ePrint umpires draw''' link to send a copy to the ePrinter (if one is set up).

===Printing information during racing===

As racing progresses, results sheets should be printed from the finish line to the ePrinter. Keep an eye on which finish line sheets can be printed for finals, and negotiate with the Chief Umpire as to when you will print updated copies of the Umpire Draw for their use.

You can print a draw (regular or umpire version) starting from a particular race by clicking on the link titled '''Print draw from here''' in the appropriate row of the timetable.

The Rowing Data System is a web-based regatta management software tool. It hopes to make things simpler for organizers and clubs attending regattas by providing a common interface and experience for regattas.

==Regatta registration==
RDS accesses registration information from RegattaCentral, in line with Rowing Canada protocols.

==Scheduling a draw==

Once entries close, the regatta organizers can create a draw. Events within a single regatta can have different progression rules and use different numbers of lanes, allowing the organizers to customize their regatta. The draw can be scheduled programmatically and manually altered if desired. Once finalized and released by the organizers, the draw is available online.

==At the regatta==

During the actual regatta, there are a number of different areas of functionality. In each case I have worked with Rowing Canada umpires to make these useful.
*	A scratch page allows the regatta organizers to indicate late scratches.
*	A weigh-in page, whose data is immediately available to other parts of the RDS.
*	An outdock page allows Control Commission to indicate who has boated and when they left the dock.
*	A start line page, showing the crews for each race, any scratches, and when the crews were checked in by Control. Race timing can be started from here.
* A splits page, which allows timings to be taken at some intermediate point on the race course.
*	A finish line page allows for the timing and placing of crews within a race.
Once the race data is all entered, results are calculated automatically and progression rules are applied to send qualifying crews to the next round. Results are available on the internet immediately after the race result is deemed official. % of gold medal standard times may be calculated agains Rowing Canada's standards if required.

==Internet access==

For full race day functionality, the host club may wish to look into whether it can access the internet from various locations on site. The finish line is best run on a computer with a keyboard, although the iPad does a good job of most parts (with a data plan and a stopwatch backup).

==Pricing for the RDS==

There are two pricing structures. You can choose the lower of the two. These give you support and a licence to use the RDS for the purposes of administering and running your regatta.
# $2 per athlete registered to race. This means that clubs have to register athletes for particular crews, which would happen anyway if the regatta were going to use the rule-checking modules.
# $20 per race scheduled to run (including time trials, heats, semi-finals and finals).

The following areas are provided for: weighins, outdock/Control commission, start line, 500m split, 1000m split, 1500m split, finish line.

===General information===

===Athlete weigh-ins===

===Control commission / out dock===

The out dock is able to indicate that a crew has passed through, or has boated, and this information will be visible to the start line. Control commission will also be able to check athlete and coxswain weights for accuracy.

===Start line===

===Finish line===

Richard: /* Printing information in advance of racing */

This system is designed to provide information from one area of the race course to another. In an ideal situation, each area would have some form of computer connected to the Internet so that they can connect to regattadata.com.

The following areas are provided for: weighins, outdock/Control commission, start line, 500m split, 1000m split, 1500m split, finish line.

===General information===

===Athlete weigh-ins===

===Control commission / out dock===

The out dock is able to indicate that a crew has passed through, or has boated, and this information will be visible to the start line. Control commission will also be able to check athlete and coxswain weights for accuracy.

===Start line===

===Finish line===

===Results===

You can also print a draw starting from a particular race by clicking on the link titled '''Print draw from here''' in the appropriate row of the timetable.

===Printing information during racing===

As racing progresses, results sheets should be printed from the finish line to the ePrinter. Keep an eye on which finish line sheets can be printed for finals, and negotiate with the Chief Umpire as to when you will print updated copies of the Umpire Draw for their use.

This information can be found at https://secure.regattadata.com/wiki/index.php. If you have any questions, please email me at info@regattadata.com

==Creating an account==
(https://secure.regattadata.com/wiki/index.php/Creating_an_account)

To create an account, please go to https://secure.regattadata.com/rds/index.php?next_page=signup.php .

Please enter your first and last names, your email address, the user name that you wish to use, and the club you wish to be associated with. It is not necessary to indicate your sex and date of birth unless you are competing as an athlete. This information makes it easier to locate you in the RCA database.

If you have been involved in a regatta hosted by RDS, then you should check the box '''I think I might be in here already...'''

Click '''I accept. Create my account.'''

You should receive an email with your account password information. If you do not, please email info@regattadata.com

If you have difficulties creating an account, please email info@regattadata.com

If you wish to have coach privileges, please email info@regattadata.com so that I can verify your request. Coaches have access to athlete information, so I would like to be sure who I am giving this access to.

If your club is not listed, please email info@regattadata.com so that I can correct this. I will email you as soon as I have completed this.

==Making entries==
(https://secure.regattadata.com/wiki/index.php/Making_entries)

In general, this section is no longer needed as Rowing Canada Aviron requires all Canadian regattas to use RegattaCentral for entries.

In order to make and edit entries, you need to have Coach permissions.

To make entries for a regatta:
#open the specific regatta item on the menu
#choose '''Make/edit entries'''
#Click on the radio buttons to add the number of entries that you want for each event, then press '''Save'''.

To edit your existing entries:
#Go to '''Make/edit entries''' (as above).
#In the Entries column, check the box for any entry you wish to delete.
#Press Save.

==Adding athletes to your entries==
(https://secure.regattadata.com/wiki/index.php/Adding_athletes)

Some RDS regattas require athlete information to be entered. Athletes can then be added into crews as entries are being made.

===Add athletes to your club===
The Add athletes page allows you to add athletes (first name, last name, date of birth, sex are the minimum fields that you should enter). If you know the athlete's Rowing Association number, please enter that too. Click on the checkbox in the Novice column if the athlete is a novice. Press Add.
If the athlete you have entered is already in the system (because they have rowed at a previous regatta), the page will allow you to choose the existing entry in the system. Please choose the existing data record, as we may get confused if we have more than one record for a particular person.

===Importing athletes from RCA===
(https://secure.regattadata.com/wiki/index.php/Importing_athletes)

If you have a lot of athletes attending a particular regatta, this will be a good option for you.

The easiest way to do this is to import a file created by the RCA Web Registration System.
#	Find your system administrator for WRS and get them to log in (membership.rowingcanada.org)
#	Go to My Account
#	Under System Administrator - click on the administer link for the club
#	Go to Reports - Program Participants
#	Leave the report set to Administrator Report. Choose the program year, then the program whose participants you wish to export. Leave Select status as Active, and press Go.
#	There is a small Excel icon, which will allow you to export the content of the grid to Excel. Press this. A file called OrganizationCategoryMembers.xls should be downloaded to your computer. (If your computer insists on opening the file in Excel, either close it and look for the original downloaded file, or save the file as Comma Separated Values. The file must be comma separated values, not a full Excel file, in order to work.)
#	If you like, you can email this file to me, and I will import it for you.
#	Or you can import it yourself. Open the '''My Club:''' link in the left menu of RDS.
#	Choose '''Athletes'''.
#	Choose '''Import RCA Excel'''.
#	Click on the '''Choose file''' button. Navigate to the OrganizationCategoryMembers.xls file that you downloaded from RCA's WRS and select it. Leave the '''Import into this club''' box checked.
#	Click on the '''Process File''' button.
#	The RDS compares the athletes listed in the RCA file against those in the RDS. It uses name, date of birth and RCA number to match athletes. Please scroll through the list of athletes to see whether it is making appropriate suggestions for athletes it may already have. Select the appropriate radio button if RDS has guessed wrong. If you have more than 50 athletes in your export, it may attempt to process in batches.
# If all of the imported athletes show up blank, this is because your Excel file is no longer comma separated values. Go back to step 7.
#	If there are changes that need to be made, press the '''Add and update into my club''' button.
#	You can check your list of athletes on the '''Edit athletes''' page. If there are athletes listed who are no longer at your club, you may remove them simply by selecting the checkbox in the '''Select''' column, then pressing the '''Remove selected athletes from club''' button.
#	If that seems like too much, return to step 7 above.

The import will add athletes who are not in the RDS, and update information for those already in the RDS. It will not, however, remove athletes who are already in your club. You can do this on the '''Edit athletes''' page.

===Validating RCA athletes===

This page will communicate with the RCA Web Registration System to check on the current registration status of each athlete.

An alternate approach is to go to the List Athletes page. This has a button for each athlete, which will attempt to query the RCA system and validate the athlete.

===Editing athletes===

(https://secure.regattadata.com/wiki/index.php/Editing_the_athlete_list)

The Edit athletes page allows you to edit a number of details about your athletes at once.

You can indicate which athletes are novice. Click on the checkbox in the Select column, click the button titled Set/remove selected athletes as novice, then confirm at the next dialog box.

If you have any athletes listed who are no longer at your club, click on the checkbox in the Select column them and then click the button labelled Remove selected athletes from club.

===Adding athletes to an entry===

(https://secure.regattadata.com/wiki/index.php/Adding_athletes_to_crews)

Most regattas require athlete names to be entered against entries, and the RDS allows regattas to test that crews are composed in accordance with the rules of racing.

The starting place for adding athletes is the List entries page. This shows all entries for the club at the regatta. Clicking on the edit athletes link takes you to another page, where you can enter the crew.

If you are using a touchscreen-based device, you can choose athletes from the Club list drop down near the bottom of the page. Click Add. If you wish, you can then indicate which seat each athlete has, then click Save.

If you are using a mouse-based device, you can drag athletes from the list on the right to the boxes on the left. You do not need to click Save. If you need to change an athlete, click the Delete checkbox by their name, click Save and then make the correction.

====Composite crews====

If the regatta allows composite crews, these can be handled by the non-drag-and-drop page. Look for the input box near the bottom of the page where you can search for the athlete in question. The search will return push buttons for each athlete who fits the search criteria; click the button for the relevant athlete. You can then assign that athlete to a seat.

If you are using the drag-and-drop page, there is a link at the top labelled '''try this page instead''' which will take you to the non-drag-and-drop page described in the previous paragraph.
